Supplier guide to CRIIS relationships

A 'how-to' guide for Suppliers on navigating CRIIS relationships.

This guide explains how suppliers can manage contractor relationships in CRIIS, including how to initiate connections, manage permissions, and remove relationships.

How to connect with contractors?

There are two ways to connect with contractors in CRIIS:

  • Send an invitation
  • Receive an invitation

To send an invitation: 

  1. Go to the Relationship Management page.
  2. Select + New Invitation.
  3. Enter the contractor’s email address or CRIIS ID (if known).
  4. (Optional) Add an internal reference (e.g. employee number) to link the contractor with your internal systems.
  5. Include a personalised message in your invitation.

💡Tip: You can send multiple invitations at once.

What if the contractor is not registered on CRIIS?

For contractors already on CRIIS, you can send an invitation using their CRIIS ID or associated email address.

If the contractor is not yet registered, follow these steps:

  1. Send the invitation to their preferred email address.
  2. They will receive an email containing a registration link and code, which is valid for 24 hours.
  3. If the link expires, the contractor can still self-register via the CRIIS homepage. 
  4. As long as they register using the same email address you used in your invitation, your relationship request will appear as a pending request for them when they sign in.

Once registered, the contractor can accept or decline your invitation from their Relationship Management page.

Receiving an invitation 

  1. Go to the Relationship Management page. 
  2. Review your pending requests. 
  3. Choose to Accept or Decline the request.

⚠️Note: Pending requests expire after 30 days. If an invitation expires, simply send a new one.

How to remove a relationship?

A relationship can only be removed if the contractor is not assigned to an active Work Order that is managed by your organisation.

To remove a relationship:

  1. Go to the Relationship Management page.
  2. Review your Active Relationships filterable table.
  3. Select  and choose to remove relationship.
  4. Confirm the removal.

If you have removed a relationship in error, just send a new invitation.

How to manage permissions?

The CRIIS platform uses permission levels to protect privacy and control access to contractor data.

Permission level definitions

Permission Level 1 (default) is the access level that is set when a relationship is not established. Only the contractor's work history is visible via the CRIIS ID. Identifying information such as the contractor's name is not displayed until a relationship above this level is established. 

To establish a connection contractors can select a higher level of permission being either:

Permission Level 2 includes level 1 permissions as well as: 

  • increased visibility of their personal information (i.e. name).
  • ability for suppliers to put the individual forward for upcoming work and link the contractor's account details to a Work Order (if successful).
  • ability for suppliers to review and endorse timesheets submitted against an active Work Order under the relationship.
  • ability for suppliers to report information recorded through assigned Work Orders and timesheets to Finance.

Note: A supplier can set their maximum permittable permission as Level 2, as such even when a contractor requests level 3 the connection will be established as a Level 2.

Permission Level 3 includes level 1 and 2 permissions as well as the ability for suppliers to submit a timesheet on the contractor's behalf.

To downgrade a permission level:

If the contractor has granted Permission Level 3, you can downgrade to Level 2.

To downgrade the permission level:

  1. Go to the Relationship Management page.
  2. Review your Active Relationships filterable table.
  3. Select the menu and choose to downgrade permissions.
  4. Confirm the change.

Downgrade of permissions to level 1 is considered removal of permissions. 

Removing a Connection

If a contractor no longer wishes to have a connection with a supplier they can downgrade permissions to Level 1.

Note: Before permissions can be downgraded there must be no active Work Orders between the supplier and the contractor.
