Agency Guide to Timesheets

A 'how-to' guide on managing Timesheets in CRIIS.

For some panel arrangements (such as the People Panel Phase 2) timesheet reporting is a mandatory requirement for suppliers. CRIIS helps suppliers meet these panel obligations. 

Agency users play a critical role in maintaining the integrity of Timesheets records submitted by suppliers under panel arrangements. These records are essential for panel reporting and contractor reporting. 

Agencies are responsible for reviewing, and approving or rejecting timesheets submitted by contractors in CRIIS.

Receive a Timesheet

Contractors submit timesheets in CRIIS to record hours worked under an active Work Order. 

Suppliers usually review and endorse the timesheet before it goes to the agency. If the supplier has opted out of endorsement, the contractor submits the timesheet directly to the agency. In both cases, the supplier still has visibility of the timesheet.

Once submitted, the agency approver receives a CRIIS notification to review the timesheet. Reminders are sent until the timesheet is approved.

Once submitted by the supplier or contractor, the timesheet will also appear in the Agency's Timesheets table.

Action a Timesheet

When a timesheet is submitted to the agency, the nominated agency approver receives a CRIIS notification email. This email contains a secure link that takes the approver directly to the timesheet record in CRIIS.

To action a pending timesheet:

  1. Review the timesheet record
    The Agency Timesheet Approver should begin by confirming that the timesheet contains accurate details, including the correct Work Order ID and reporting period. They should also verify the accuracy of the recorded hours—such as by comparing them to a work schedule—and check for any missed clock-ins or clock-outs. Breaks should be reflected by omitting time from the record. 

  2. Endorse or Reject.
    • If everything is correct, click “Endorse” to approve the timesheet.
    • If changes are needed, click “Reject” to return it to the contractor for amendment.

Frequently Asked Questions

No. CRIIS timesheets are used for panel reporting and do not replace payroll system timesheets. They do not accommodate awards, overtime, or superannuation calculations, but the data can be exported for payroll processing if suitable.

No. CRIIS does not replace the payment of invoices issued by suppliers to agencies for services received under the panel agreements. As such CRIIS does not connect with Recipient Created Tax Invoices (RCTIs) or PEPPOL e-invoicing.

Yes. CRIIS sends notifications to the nominated Agency timesheet approver. 
The Supplier adds the approver when linking a contractor to a Work Order. This person is responsible for reviewing and approving timesheets submitted by the contractor.

If the approver does not have a CRIIS account, they can still complete their task. Instead, CRIIS will send them a secure email link that allows them to access and action the timesheet without needing to sign in. Reminder emails are sent until the timesheet is actioned.

The Supplier can update the agency approver at any time.

Agency users can also view and action timesheets in the CRIIS platform, provided they have the appropriate permissions.

Yes. CRIIS provides flexibility to ensure timesheets can still be actioned even if the nominated approver is unavailable.

CRIIS allows suppliers to list multiple agency timesheet approvers for each contractor linked to a Work Order. This ensures that if one approver is unavailable, another can action the timesheet without delay.

Agency users can view and action timesheets in CRIIS, provided they have the appropriate permissions. These permissions are managed by the Agency Admin user, who can add or update users at any time through the Manage Users section of CRIIS.
